General Terms and Conditions

The following are the expectations for all Users working from Premises.

  1. Solicitations. Our retail section is the perfect place to solicit your work. Whether you’re selling your products, or displaying a sign about your services, all members can apply to showcase their wares in the retail space near the entrance. You may also share about offers and deals in the member portal. However, the workspaces and private offices are not to be used for soliciting to other members or guests.

  2. Work, Grow, Meet. The HCo provides spaces for quiet focus work, team collaboration, and playful downtime. Please use each of these spaces appropriately. Phone booths should be used short-term for no longer than 2 hours at a time, and occasionally, rather than regularly or for long periods of time. Please keep noise to a minimum. Phone calls should be made in private offices, outside, or in phone booths.

  3. Family Friendly. We love kids! We want you to feel comfortable working with your family around. This is why we have provided a space specifically to serve your family. Please understand that while children are welcome in the shared spaces, we also have coworkers and business owners who need minimal noise and distractions in order to be productive. It is each parent or guardian’s responsibility to supervise their children. Please do not leave your child unsupervised anywhere in the HCo. It is also the parent or guardian's responsibility to ensure that the space was left clean and tidy after children were in the space (don't forget to check the restrooms!).

  4. Guests. Visitors are welcome at the HCo, in conference rooms or private offices. Visitors may not use the Coworking Flex space for more than two (2) hours, unless a day pass has been purchased. Visitors are not to be recurring, regular guests. Anyone who becomes a “regular” will be asked to purchase a membership. Members are responsible for the conduct and care of their guests. All guests must sign in at the front desk. Please remember to submit a Guest Slip at the front desk or register a visitor on the Member app, before a guest arrives. If you plan to host a guest at HCo outside of business hours, the guest slip must be submitted one business day prior to the visit.

  5. Security. Please do not duplicate or share office keys, mail keys, portal login, Kisi login, or wifi pins for any reason. Similarly, you may not share office keys, mail keys, portal login, Kisi login, or wifi pins with members of your organization or guests for any reason. Only you may use your unique login credentials and you may only use your own unique login credentials. If additional keys are needed, please inquire with an HCo employee. Members should be mindful of security at all times. It is your responsibility to confirm that doors latch behind you as you exit offices and/or the building. When visiting the space outside of staffed business hours, it is the Member’s responsibility to leave the space in good condition and secure. Please be aware that we do use security cameras to monitor the space at all times. You are responsible for your own property. You should lock your private office when you leave. You are welcome to leave your belongings in the Coworking Flex space at your own risk. However, if you will be gone for over an hour, please take your things with you to allow room for other Members. HCo is not responsible for any of your property that becomes lost, damaged, or stolen.

  6. No Transfers. Memberships and offices, and Board Room credits may NOT be transferred to or shared with guests or other organizations or teams.

  7. Housekeeping. Please keep common areas clean and tidy. Parents are responsible for cleaning up after their children and all members are responsible for their guests’ and their own mess. This includes returning dishes to the kitchen dishwasher and disposing of any trash or spills. An HCo employee would be happy to assist with any particularly complicated messes at your request. If you notice an area needing attention (i.e., low on paper towels, coffee is empty, etc.), please alert HCo staff immediately. Similarly, because we are a SHARED workspace, we expect you to keep your workspace clean and tidy. Aside from dry-erase marker or privacy films provided by HCo, there should be nothing hanging or covering windows. We enjoy music at HCo. If you aren’t feeling the current selection, please feel free to use your headphones or play music in your own office as long as it is not heard from the hallway or common areas. While Hco is available to our members 24/7/365, it is not to be used as a residence. Personal hygiene may not be conducted on Hco premises and members and guests are not permitted to use Hco spaces for sleeping.

  8. Fridge. The community fridge should be treated as a temporary holding space for your needs. Please do not store personal items in the fridge for longer than 24 hours at a time. If you would like to see a certain kind of coffee creamer or another item, please ask an HCo employee about adding it to our inventory! We reserve the right to discard any items left in the fridge for longer than 24 hours.

  9. Board Room. Our Board Room must be reserved in advance. Please use this room for only the times reserved, including set up and clean up time. If you need more time, check the room calendar to be sure no one else has already reserved it and add time from there. The time you have the room reserved is the time you have access to it. If you need extra time to set up materials or clean up afterward, please include that time in your reservation. Each full time membership includes some free credit hours to the meeting room. After those hours have been used, you may purchase additional hours. Credits do not roll over each month. If you would like to book a room for more than 3 hours at a time, please reserve the room at least 48 hours in advance. You may not re-sell or donate your conference room time (credit or purchased) to non-members or outside groups. If you or your organization members use the conference room without a prior reservation, HCo reserves the right to add that reservation to your organization's account, possibly resulting in usage of credit hours, or a monetary charge for that time used, even if applied for time used outside of staffed hours. Please leave the room reserved in better condition than you found it.

  10. Staff and Support. While HCo is accessible 24/7/365 to members via Keyless Entry, it is staffed Monday-Friday from 9am to 5pm (with exceptions on holidays). If you have a guest visit outside of office hours, they may not enter or remain in the building without you present, and. If you encounter a non-urgent issue or need outside of office hours (i.e. someone left their belongings or the soap is low), please send an email to concierge@heirloomcowork.com or use the Help Desk on the member portal so we can address it when we return.
